3440.01 - MILEAGE REIMBURSEMENT

The Board of Education may reimburse employees (and Board members) for distances traveled to attend specific functions based on the following. No reimbursement will be made to any employee to attend meetings or events at Hopewell-Loudon Schools. The Board will reimburse employees based on the current IRS mileage rates. The following will be used to determine if the mileage if reimbursable:

 A.Professional Meetings
  Travel to meetings that staff attend that enhance their job skills, provide CEU's, or have a specific agenda related to their field of expertise are reimbursable.

 B.Other Meetings
  Meetings, which the staff member is on the board of directors, or the staff member attends as a peer meeting, group (i.e., AD meetings, Treasurer meetings, etc.).

 C.Mail/Bank
  Trips to pick-up and deliver mail, trips to the bank, and other short distance trips that must be taken to run errands for the District during the regular business hours are reimbursable. There must be a receipt or some document showing the purpose of the trip.

 D.Extra-Curricular School Activities
  Administrators/staff members who are fulfilling an administrative function at the event will be reimbursed. This is limited to the AD, Dean of Students, or principal in charge of an athletic event. Administrative presence requested at specific functions (i.e., National Machinery night) will be reimbursed. Reimbursement to administrative level employees will be made for athletic events that are regional or State level competition in order to show support of our athletes at an elite level. An administrative schedule will be presented to the Treasurer before each season to identify the administrator in charge of that event. Observers at school events are not justification for reimbursement.

Any other mileage presented for payment, which does not meet the above criteria, will be forwarded to the Board by the Treasurer for approval at their discretion.
